01 Purpose & Industrial Nature of Products
This Cancellation and Refund Policy governs all commercial transactions, spot Purchase Orders (POs), and long-term supply agreements executed with S B Biofuel Pvt. Ltd. (“Company”, “we”, “us”).
Because our primary products (Biomass Briquettes, Biomass Pellets, Wood Chips, and Agro Residues) are high-volume, bulk agricultural commodities dispatched via dedicated multi-axle trailers with custom weighment, cancellation and refund terms operate under standard B2B commercial logistics frameworks rather than retail consumer return policies.
02 Order Cancellation Framework
Cancellation requests are accepted without penalty if communicated in writing to sbbiofuel@gmail.com at least 24 hours prior to truck placement and loading at our Amravati plant. Any advance payment will be refunded in full after deducting standard banking processing charges.
Once material has been loaded onto freight trailers, electronic E-Way bills generated, and weighbridge slips issued, cancellation is strictly prohibited. If a customer refuses to accept delivery at destination, two-way freight charges, transit insurance, and restocking deductions (up to 15%) shall be borne by the Buyer.
03 Quality Rejection & Calorific Disputes
Every batch of briquettes and pellets dispatched from our plant is pre-analyzed for Gross Calorific Value (3800-4200 kcal/kg) and moisture control (<10%). However, if delivered fuel fails to meet contractually agreed parameters:
- Notice Period: The Buyer must notify S B Biofuel within 24 hours of arrival and prior to dumping or mixing the fuel into boiler storage bunkers.
- Joint Representative Sampling: Samples must be drawn jointly in the presence of designated plant representatives of both parties in sealed air-tight containers.
- NABL Laboratory Analysis: Samples shall be referred to an independent government-approved NABL-accredited laboratory (e.g., CIMFR, SGS, or Bureau Veritas).
- Resolution: If lab analysis confirms GCV shortfall exceeding contractual tolerance limits or moisture above agreed levels, the Seller shall either: • Provide a pro-rata commercial debit/credit note based on actual delivered calorific heat value, OR • Replace the disputed batch at the Seller's cost, subject to truck turn-around logistics.
04 Weighment Shortfall & Credit Adjustments
Standard road transport of agricultural residues is subject to natural environmental moisture evaporation during transit.
- Weighment differences up to ±0.5% between the Amravati plant computerized weighbridge and the customer’s destination bridge are considered customary transit variance and will not qualify for refund deductions.
- If destination weighment confirms an unexplained weight shortfall exceeding 0.5%, verified by gross and tare computerized slips, S B Biofuel will issue an official GST Credit Note or deduct the shortfall value from subsequent invoices.
05 Refund Processing & Banking Timelines
All approved commercial refunds are remitted strictly through verifiable corporate banking channels (RTGS / NEFT) to the originating corporate bank account.
- Processing Timeline: Approved refunds or advance payment reversals are credited within 5 to 7 business days following mutual sign-off on the credit note or cancellation ledger.
- No Cash Refunds: Under no circumstances are refunds disbursed in cash or to third-party bank accounts, ensuring full compliance with Indian Anti-Money Laundering and corporate tax standards.
06 Non-Refundable Circumstances
No refund, credit note, or return shall be entertained in the following cases:
- Fuel that has already been dumped into customer coal yards, mixed with other raw materials, or fed into boiler furnaces.
- Consignments where damage, moisture saturation, or contamination occurred after truck delivery due to open yard storage during rains at the customer's facility.
- Detention charges, vehicle demurrage, or crane/labor standby fees caused by delayed unloading at the Buyer's receiving gate.
- Specialized plant setup engineering consultancy fees or custom feasibility audits once advisory reports and technical layouts have been officially delivered.
07 Cancellation by S B Biofuel Pvt. Ltd.
The Company reserves the right to cancel or postpone scheduled dispatches without penalty under circumstances such as:
- Default or failure by the Buyer to fulfill agreed advance payment milestones.
- Force Majeure occurrences including severe flooding, regional agricultural crop devastation, highway transit closures, or government freight restrictions.
In such instances where S B Biofuel cannot fulfill an advance-paid order, the customer’s unutilized balance shall be refunded in full within 3 to 5 business days.
